Document Imaging

On-Site Scanning can manage files from the size of small till receipts up to A3 pages, both in bi-tonal or colour. On-Site Scanning use the Latest Kodak Scanners and Kodak capture software offering a complete solution to your imaging needs.

Our scanners have sure path paper handling with three independent ultrasonic multi feed detection sensors. They easily handle documents of varying size weight and type.
Our software produces Perfect Page Scanning with iThresholding. This allows the imaging of even the most difficult original documents with a consistently high quality; this is done by dynamically setting the brightness and threshold for each document. See the example below.

Preparation & Management of Documents

Preparing your documents for imaging can be a long drawn out process. Our trained staff can prepare the files, freeing up your staff to concentrate on their work thus increasing productivity.

 

Document Management

When you have taken the decision to transfer your hard files to electronic copies it is the ideal time to think about how you would like to organise them. This is done by indexing. You decide on the level of indexing and what to index, this in turn becomes your search parameters, so it is worth putting some thought into this process as it will determine the accessibility of your files for you and your staff. On-Site Scanning can help you though this process by giving examples and recommendations.

When these decisions have been made you then have to decide on a management system. On-Site scanning can provide your files with free Kodak, Find and View software written into each CD. This will allow you to search for your files according to your index fields. However, you may be looking for more from your data management system and there are plenty to choose from. On-Site Scanning can help with these decisions and offer impartial advice.

 

Document Destruction & Archiving

Once your documents are scanned, organised and in use you then have to decide what to do with your hard copies. Shredding is the most common solution. This is the final step to freeing up your office space but your documents may be of a sensitive nature and care must be taken to ensure their proper destruction. On-Site Scanning work in partnership with Shred-it Scotland, who incorporate the same on-site principles of security. When the documents have been shredded a certificate of destruction is issued.

However there may be several reasons for keeping your files, in which case off-site storage may be an solution. There are many options regarding off-site storage and On-Site Scanning can help you make the right decisions and put you in touch with the companies that will best suit your needs.


 

Media Storage

Once your files have been transferred to CD and your files returned, On-Site Scanning will hold your files on our secure server for 30 days free of charge. After which time they will be deleted. This time span can be extended for extra back up of your files which would act as off site media storage.
